Axcite Invoice Workflow saves time and offers greater flexibility
With Axcite Invoice Workflow, VOLA has achieved tighter control of invoice registration and approval, a much faster approval flow, and even invoicing in the accounting department is faster as invoices are scanned and filed in the electronic archive, which is easy to navigate around in.

Streamlining creates more jobs in Denmark
”Only by continually streamlining our administrative processes can we ensure that resources are made available for value-creating activities, so we can keep our industrial workplaces in Denmark,” says CFO, Johannes Aa. Saugbjerg, VOLA A/S.
This was the background for a larger LEAN project that was undertaken by the world-renowned producer of taps, which led to a reduction in turn-around time for the production of a tap from 41.2 days to 28 minutes on the new LEAN production line.
After this, it was the turn of the invoicing process, where the potential for making improvements using the LEAN principle was considerable. Manually registering and filing invoices was hugely time-consuming. It also took a disproportionately long amount of time to check whether the invoiced items had also been delivered.
On top of this, an inefficient approval procedure also cost us time and effort throughout the whole organization and created an inconvenient workflow internationally.

The solution consisted of Bredana Axcite's own module, Axcite Invoice Workflow, which they had developed for Dynamics AX.
Using the ReadSoft application, the invoice can be scanned and inputted directly into Dynamics AX. ReadSoft can process any format, and the invoice is displayed in the same screen as the data from it.
Subsidiaries scan and send to an e-mail address and the head office in Horsens retrieves the data directly in ReadSoft as PDF or Tiff files. In other words, all administration is managed in Denmark and stays here.
Axcite Invoice Workflow organizes and manages the whole process. Everything is entered into the system:
The process is paperless. Creditor invoices are automatically matched up with purchase orders, so you only spend time checking amounts that do not match up. The entire approval procedure is automated and each individual invoice is logged.
The approval flow is logical, so everyone throughout the company hierarchy has the information they need to give their approval. The approver only sees their own accounts, which makes the approval process more manageable. In addition, files can also be kept confidential.

Facts about VOLA
VOLA A/S roots were established way back in 1873, when it started as a brass finishing workshop in Århus. It has been owned and managed by the Overgaard family ever since.
After Arne Jacobsen won an architectural competition for his design of the National Bank, Verner Overgaard contacted him with an idea for a wall-mounted tap mixer in which only the handles and spout were exposed. Arne Jacobsen liked the idea and offered to work on the design. That was the start of a fruitful collaboration.
Since then, all the VOLA mixer taps that followed have been based on that original design, with many variations to follow.
VOLA A/S has 200 employees of which 157 work at the head office in Horsens, which is the only production site. In addition, there are seven sales outlets in Europe and a showroom in Copenhagen.
